QKAI PTY LTD (ABN 18 697 027 133, trading as QKAI) ("we", "us") respects your privacy. This Privacy Policy explains how we collect, use, and protect your personal information.

Information We Collect

We collect information through:

  • Contact form: name, email, phone, inquiry type, and notes you voluntarily provide.
  • Website analytics: anonymous usage data via Google Analytics 4, including page views, device type, and geographic location (city-level).
  • Cookies: essential cookies for website functionality and analytics.

AI Data Processing

Regarding our AI Agent services:

  • Business data processed by AI Agents (emails, inquiries, etc.) is used solely to provide automation services and is never used to train models or shared with third parties.
  • All AI-processed data is stored on servers you designate. You retain full data ownership.
  • LLM API calls we make do not retain your business data.
  • Email drafts generated by AI Agents require your approval before sending, ensuring human oversight.

How We Use Information

Information we collect is used only to:

  • Respond to your inquiries and provide services.
  • Improve website experience and service quality.
  • Send follow-up communications related to your inquiry (no marketing emails unless you explicitly opt in).

Information Sharing

We do not sell your personal information. We only share data in these cases:

  • Using Resend email service for notifications (only necessary data transmitted).
  • Using Google Analytics for anonymous website analytics.
  • When required by law.

Overseas Data Transfer

In accordance with Australian Privacy Principle 8 (APP 8), we disclose the following:

  • To deliver our services, some of your data may be transmitted overseas for processing. This includes: LLM providers in the United States (such as OpenAI and Anthropic) for AI Agent processing; Resend (US) for email notifications; and Google (US) for website analytics. Data transmitted is limited to the minimum necessary for each service.
  • We maintain data protection agreements with all overseas data processors, requiring them to meet data protection standards equivalent to or exceeding those under Australian privacy law.
  • Under our current agreements with LLM providers, API calls are processed in real time and your business data is not persistently stored on overseas servers. We regularly review provider terms to ensure ongoing compliance.

Data Security

We take reasonable technical and organizational measures to protect your information, including HTTPS encryption, secure server environments, and access controls.

Cookies & Tracking Technologies

Our website uses the following cookies and tracking technologies:

  • Essential cookies: required for core website functionality (language preferences, form state). These cannot be disabled.
  • Analytics cookies: Google Analytics 4 collects anonymous usage data. You can opt out via browser settings or the Google Analytics Opt-out Browser Add-on.
  • We do not use advertising tracking cookies and do not link cookie data to your personal identity.

Data Breach Notification

Under the Notifiable Data Breaches (NDB) scheme:

  • If a data breach occurs that is likely to result in serious harm to you, we will complete our assessment within 30 days of becoming aware of the breach (per s 26WH of the Privacy Act 1988).
  • Once a breach is confirmed, we will notify affected individuals and the OAIC as soon as practicable.
  • Notifications will include: the type of data involved, the likely consequences, remedial actions we have taken, and steps we recommend you take.

Complaints & Disputes

If you believe we have mishandled your personal information:

  • First, contact us at qifeng@qkai.com.au. We will respond to and investigate your complaint within 14 business days.
  • If you are not satisfied with our response, you have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC): www.oaic.gov.au, phone 1300 363 992.
